Description
Activity Types in ClickClaims are used to group related Products & Services Items (PSIs) to simplify billing for time and expenses. Instead of selecting from a long list of individual PSIs, users can choose from predefined categories that reflect common combinations of services.
This structure helps streamline workflow within the claim notes. Activity Types are flexible and customizable—how you categorize your PSIs is entirely optional and may vary by client, Billing Rate Sheet, claim type, service type, or any other invoicing model your organization uses.
Accessing the Activity Types Manager
Hover over the Tools menu at the top of the screen.
From the dropdown, go to Manage, then select Activity Types.
On the Activity Type List page, click New to create a new Activity Type.
To view or edit an existing type, click View.
Creating a New Activity Type
On the Activity Manager page, complete the following:
Required Fields
Name: Enter a clear, descriptive name for the Activity Type.
Active: Check this box if you want the Activity Type to be available for use when adding claim notes.
Note: Only Activity Types marked as Active will appear as options during note entry.
Optional Fields
Code: An internal identifier or reference number.
This field allows you to code an activity note, which can be utilized effectively to locate specific types of activity notes. This can be accomplished by employing various methods such as filtering, grouping, or sorting based on the Activity Code column found on the data grid of the claim's Notes tab. This can enable users to manage and analyze activity notes more efficiently, making it easier to access pertinent information as needed.
Activity Note Default Text: Pre-filled text that will appear in the claim note when this Activity Type is selected.
Comments: Internal notes to help clarify the purpose or use case for this Activity Type.
After completing the necessary fields, click Save at the top of the page.
To cancel without saving, click Return to List.
Associating Products & Services
Once saved, the lower section of the Activity Manager page becomes accessible, allowing you to associate Products & Services Items with the Activity Type.
To Link PSIs:
Click Add in the Associated Products & Services section.
Use checkboxes to select one or more Products & Services.
To select all, check the box next to the Name column header.
Note: If there is no checkbox located next to the PSI, it indicates that it is already associated with the selected Activity Type.
4. Use the filters under the Name, Description, Category, or Subcategory columns to narrow your selection.
5. Click Add to finalize your selections.
6. To remove a PSI, highlight it and click Delete on the Activity Manager page.
You may repeat this process to continue adding or deleting Products & Services Items. There is no limit to the number of PSIs that can be linked to an Activity Type.
Important: Any time a new PSI is generated, it is essential that it is associated with the appropriate Activity Type(s) before it can be selected during the process of adding T&E (PSIs) to a claim note. If a PSI is not linked with an Activity Type, then it will not be available for selection when creating a claim note.
Important: Products & Services Items set up with a Billing Rate Method of Calculated Value will not appear as options when adding T&E to your claim note. This method is specifically designed for use with the fee schedule tier portion of a Billing Rate Sheet only and is not applicable for time and expense (T&E) billing.
Important: It is recommended to define Activity Types in a way that reduces complexity for your users and aligns with your billing practices.
